General Conditions
​

These Terms & Conditions (“Terms”) apply to all events organised by Ultra Endurance Tri Limited (“ULTri”, “we”, “us”, “our”, “Event”). By entering any ULTri event, you agree to follow these rules for your safety and the integrity of the Event.

The Event Director and safety team have the final say on all matters during the event. Their decision is final.​​​​

2. Definitions
​

Athlete: the person or team applying to take part in an event.
-
Event: any race, triathlon, or endurance challenge organised by ULTri.
-
Support Crew: individuals assisting the Athlete during the Event.
-
Entry Fee: the full cost of participation, including deposits.
-
Force Majeure Event: any event beyond our reasonable control (e.g. extreme weather, natural disasters, pandemics, government restrictions, terrorism, industrial action).
3. Entry & Eligibility​

Minimum age: 21 years or over on the date of the Event.
-
Applicants must show previous ultra-endurance experience (solo) or team endurance experience (relay).
-
Entry is only confirmed once deposit, balance payments, signed waiver, and medical clearance are received.
-
Places are limited; unsuccessful applicants may be placed on a waiting list.

Entry is subject to application, vetting, and acceptance by ULTri. We reserve the right to refuse any entry without explanation.
-
All athletes must provide accurate personal, medical, and emergency contact details.
-
False or misleading information may result in withdrawal without refund.
4. Payment

A non-refundable deposit is required to secure entry.
-
Balance payments must be made by the deadlines specified in the event pack.
-
Failure to pay instalments on time may result in loss of place.
-
All prices are stated in GBP

5. Safety​
​
-
Mandatory attendance at the safety briefing before the event and comply with instructions from event officials
-
Mandatory kit lists will be provided and must be followed. Kit checks may be conducted.
-
GPS tracker and Garmin SOS device must be carried as instructed.
-
Swim is boat-escorted; reflective/high-visibility clothing required in poor visibility or low-light.
-
Organisers may change the route, stage, or timing for safety (e.g. severe weather, flooding, road closures). The Event Director’s decision on safety matters is final.

6. Athlete Requirements
-
Athletes must ensure they are physically fit and capable of completing the event.
-
A medical certificate/GP sign-off is required before participation.
-
Athletes must arrange their own insurance to cover medical, cancellation, and third-party liability.
-
Athletes are responsible for their own travel, equipment, and nutrition unless otherwise stated.
-
Athletes and crew must be responsible for their own accommodation before and after the event.

7. Support Crew
-
A support vehicle is required for all athletes (solo: minimum 2 crew, relay: minimum 1 crew).
-
Support crews must follow road laws and safety regulations, park responsibly, and not interfere with other athletes.
-
For Scafell Pike, a competent support runner is required to accompany the athlete. If not available, the organisers may help arrange one.
-
Only authorised support may assist athletes (no pacing, no outside riders/swimmers).
-
Athletes are responsible for the behaviour of their crew at all times.

8. Mandatory Kit
-
You must carry all required safety kit as listed in the Athlete Pack (including helmet, lights, reflective vest, swim safety float, first aid kit, phone, mountain clothing).
-
Kit checks may take place before or during the event. Failure to comply may result in disqualification.

9. Athlete Conduct
-
No drafting on the bike unless permitted in the route guide.
-
No doping or performance-enhancing drugs (subject to UK Anti-Doping rules).
-
No littering or damaging the environment.
-
Respect locals, volunteers, and other road/path users.
-
Alcohol or recreational drug use during the event is prohibited.
10. Cut off times​

Athletes have 3 consecutive days in total to complete the event. Stage cut-offs:
-
Run: 13 hours
-
Swim: 7 hours
-
Bike: 12 hours
-

Organisers may withdraw athletes not meeting cut-offs for safety.

11. Insurance and Medical
​
-
All athletes must provide proof of personal insurance covering ultra-endurance triathlon, medical costs, and emergency evacuation.
-
A GP medical assessment is required before participation.
-
Any change in medical condition must be reported to the organisers before the start.
12. Withdraw and DNF
-
If you withdraw, you must notify HQ and return your tracker.
-
Your crew is responsible for your safe extraction from the course.
-
Failure to notify the organisers may result in removal from future events.
-
ULTri may withdraw or disqualify athletes for safety, misconduct, doping, rule breaches, or unsporting behaviour.
13. Refunds & Transfers

£350 deposit is non-refundable.
-
Refunds are only available as per the event refund policy published at the time of entry.
-
Before 1st May: 50% of the second instalment may be refunded (not deposit).
-
After 1st May: No refunds are given after the final balance date.
-
-
Transfers to a future year may be offered at the Event Director’s discretion.

14. Cancellation and Force Majeure
​
-
If the event is postponed or cancelled due to circumstances outside our control, your entry will be transferred to a future date. Includes factors but not limited to:
severe weather, natural disaster, pandemics, terrorism, government restrictions. your entry will be transferred to a future date.

No refunds will be provided beyond what is stated above.
-
No cash refunds will be issued in such cases.
-
ULTri accepts no liability for additional costs (e.g. travel, accommodation).

15. Logo, Media and Image Rights
​​
-
By entering, the athlete and support crew consent to the use of event photos, video, and tracking data for promotional purposes.
-
Athletes may request limited opt-out of promotional use by written notice.
-
Optional media packages are available for athletes who want bespoke coverage.
-
Athletes and support crews may not use ULTri logos, branding, or event name for personal promotion without prior written approval.
-
Any film or media crew must be approved by ULTri in advance.

​16. Course & Navigation
​
-
The Event takes place on public roads, paths, and open water; the course is not closed to traffic or the public. Athletes and support crews must exercise caution at all times.
-
GPX files or detailed route guides will be provided, but it is the responsibility of the support crew to navigate safely.
-
Athletes must follow the official course. Any deviation (e.g., wrong turns) must be corrected safely; shortcuts will not be allowed and may result in penalties.
-
Support vehicles may “leapfrog” the athlete to provide aid. Leapfrogging must be done safely and legally, stopping only in appropriate areas for feeding or assistance.

17. Vehicle Rules
-
Only one support vehicle per athlete/team is permitted unless pre-approved by ULTri.
-
Vehicles must follow local road laws, move at normal traffic speed, and must not ride alongside the athlete to provide pacing or physical assistance.
-
Crew must ensure safe parking during feeding or aid; unsafe or obstructive parking may lead to disqualification.
-
Vehicle size must be approved if larger than a standard car, to avoid hazards on narrow roads or trails.

18. Medical Restrictions
-
No intravenous fluids or invasive medical interventions are permitted during the Event, except in a life-saving emergency.
-
All medications being taken during the Event must be declared to ULTri in advance.
-
Any change in health or medication prior to the Event must be reported immediately.
19. Format & Date Changes
-
ULTri reserves the right to modify the Event date, start times, route, or stage distances if required for athlete safety or operational reasons (e.g., severe weather, flooding, road closures).
-
Athletes will be informed of changes as early as reasonably possible. No refunds are provided for changes deemed necessary by ULTri for safety or operational reasons.
20. Start Slot Obligations
-
Athletes must be available and ready to start the Event at the designated Day 1 start time. Late arrivals may forfeit their place with no refund.
-
All preparations, including travel, equipment, and accommodation, must allow the athlete to start safely and on time.
21. Expanded Risk Waiver
-
Participation in ULTri events carries inherent risks, including but not limited to: exhaustion, dehydration, hypothermia, heatstroke, cold-water immersion, drowning, falls, slips, collisions with vehicles, cyclists, pedestrians, wildlife, falling rocks, uneven terrain, strong currents, tides, extreme weather, equipment failure, or loss, and physical or mental trauma, serious injury, or death.

There may be additional unknown or unforeseeable hazards; athletes accept responsibility for all risks associated with participation.

Athletes agree to follow the rules and instructions issued by ULTri officials. Failure to comply may result in disqualification.

ULTri reserves the right to modify, postpone, relocate, or cancel the Event for safety, operational, or environmental reasons.
-
ULTri reserves the right to refuse entry to any person considered to have insufficient experience or to disqualify those who fail to follow event rules and conditions.

Athletes, for themselves and their heirs, executors, or assigns, hereby waive, release, and discharge ULTri and all associated persons from all liabilities, claims, actions, or damages arising out of or in any way connected to participation in the Event.

Athletes acknowledge that emergency or rescue assistance may be hazardous, and accept full responsibility for seeking and following such assistance.

22. Liability
-
Participation is at your own risk. By signing the waiver, you accept that ultra-endurance triathlons are inherently dangerous and may result in serious injury or death.
-
Organisers are not liable for personal injury, property loss, or third-party costs beyond statutory obligations.
